AdvisorEngine Client Portal Document Sharing

Note: This feature is in pilot and not available to all firms.

Firms that have the AE Portfolio Manager product can share documents to clients directly from the CRM or see documents the client has uploaded to their client portal.

Prerequisites:

Sharing a File to the Client Portal

Sharing a file is done from the Documents Workspace or the Documents section of any given Record.

  • Navigate to the Document Workspace or Documents section of a Record.
  • Locate the document you need to share to the client portal.
  • Click the more menu under the Commands column and select Share with Client.

At this point the checkbox in the Shared with Client column is checked.

The client can access and view the document from the Documents section of their Client Portal. The document title will have “Advisor shared -” appended to the start of the file name.

Caution: The Share with Client option will be available even if the Record has not been matched to any Portfolio Management Client. It can still be selected but no file will actually be shared if there is no link.

Removing a Shared File from the Client Portal

To remove a file from the Client Portal view without deleting it, repeat the above process, selecting Remove access from the more menu of a shared file.

Checking Which Files Are Shared

With the integration enabled, all document workspaces have a column avalible named Shared with Client. The checkbox state denotes if the file is shared or not. This column can be searched and filtered like any other column if needed.

Viewing Client-uploaded Documents

If document upload is enabled for clients in the Portfolio Manager, any documents they upload to their Client Portal will automatically show in their CRM documents with a Description of “Uploaded from Client Portal” and the Shared with Client checkbox selected.

Client-uploaded documents have different options in the more menu . Users in the CRM can edit the properties, download the file, or delete it. Deleting the file will also remove it from the Client Portal.
