Setting Up the AdvisorEngine CRM Client/Record Sync

Once you have Enabled your AdvisorEngine CRM Integration you are ready to configure the Client/Record sync. Several options for the sync are available which affect how and when data will flow between the two systems. Each of the options are detailed below.

To access the sync setup, navigate to Communicate > Integrations and click MANAGE on the AdvisorEngine CRM tile.

When you have completed adjusting your settings, click SAVE.

How Do You Want to Sync

Select the sync method you prefer to use.

Automatically

Select this option if you want Client and Record data to automatically synchronize each day at 3 AM Eastern. The manual SYNC NOW feature will still be available if a sync is needed at other times.

Manually

Data sync will only happen when a user navigates to Communicate > Integrations and clicks SYNC NOW on the AdvisorEngine CRM tile.

Primary Data Location

Under Demographic information to sync > For matched clients, which data source is primary?, choose which side of the sync you will be making changes in. Changes from the selected side will flow only in the selected direction for matched clients.

Matching Clients

Entries in the Wealth Platform and the CRM will attemp to automatically match using the following criteria:

  • Social Security Number first
  • First Name and Last Name if no SSN match is found

If a match is found using either of these criteria, the entries are linked and no further action is needed. For entries that do not match, you will need to determine how you would like to handle the process of creating a match.

Tip: Each CRM Record has a section for Additional Participants in the Identification section, allowing you to add multiple SSN/TINs for automatic matching if needed.

Enable either or both toggles in the For unmatched clients section to have entries automatically created and linked when a match is not found.

If you leave either toggle disabled, you will need to follow the steps in Manually Matching AdvisorEngine CRM Client/Records for details on handling entries that are not automatically matched or that were matched incorrectly.

Unmatched CRM Records

To have a new Client created in the Wealth Platform when a CRM Record does not find a match, enable Automatically create a new client in AdvisorEngine Wealth Platform and set a default Rep Code that will be attached to the new Clients.

Unmatched Wealth Platform Clients

To have a new CRM Record created when a Wealth Platform Client does not find a match, enable Automatically create a new record in AdvisorEnigne CRM. Take note of how the required Record fields will be automatically populated.

NOTE: Even with automatic creation, be sure to check the new entries regularly. If a match was not made because of a data entry error in the SSN or Name on either side, you will end up with duplicates. Either use the manual management or check your matches regularly.

What Data to Sync

Under the What data to sync section, select the fields in the Wealth Platform that you want synced with the companion fields in AE CRM.
