Role Permissions Glossary

The following table is a list of all permission options available for a User Role. Each section is described in detail, followed by the possible available permissions settings for each area: View, Create, Edit, or Delete.

Admin / Document Turns on the Asset Class sub-tab located under Grow Practice > Customization. It allows a user to view, create, edit, or delete asset classes.
Requires a user also have access to the Grow Practice tab to work.

Assign Account Numbers This permission is no longer in use. X
Communicate / Contacts 1 Turns on the Communicate tab as well as the Contacts sub-tab. Allows a user to create, edit, or delete a contact. X X X X
Communicate / Integrations
Turns on the Configurations sub-tab located under the Communicate tab. Allows a user to set up integrations between the Portfolio Manager and the following CRM systems:
  • AE CRM
  • Redtail

Communicate / Launch Turns on the Launch sub-tab under the Communicate tab. Allows a user to view alerts and other AdvisorEngine company-related information.
This permission is required to access the Portfolio Manager.

Grow Practice / Customization
Turns on the Customization sub-tab under the Grow Practice tab. Allows users to view the following additional tabs:
  • Asset Classes
  • Sleeves
  • Return Overrides

Requires a user also have access to the Grow Practice tab to work.

Grow Practice / Customization / Forms
Turns on the Forms and Sections sub-tabs located under the Grow Practice tab. Allows users to:
  • Create Document categories or sections
  • Add new Documents
  • Delete Documents

Grow Practice / Customization / Report Packages Turns on the Report Packages tab located under Grow Practice > Customization. Gives users the ability to run, edit, delete, and create new reports.
Requires a user also have access to the Grow Practice tab to work.

Grow Practice / Customization / Report Packages / Admin
Turns on the Setup Defaults link under Grow Practice > Customization > Report Packages. Gives a user the ability to:
  • Upload images to appear on the report
  • Change the disclaimer and legal copy associated with the report

Requires a user also have access to Grow Practice / Customization / Report Packages and Grow Practice / Dashboard / Opportunities.

Grow Practice / Dashboard / Opportunities 1
Turns on the Grow Practice tab along with the Dashboard and Opportunities sub-tabs. Allows a user to:
  • Edit Contacts
  • View Operational Status
  • View Summary
  • Add opportunity for existing contact
  • Add new contact

Grow Practice / Digital Advice 1
Turns on the Digital Advice sub-tab when under Grow Practice tab. Gives the user the ability to view:
  • Workflow
  • Investments
  • Account documents
  • Advisor’s view of the client’s portal

Turns on the Run Business tab and the Compliance Log sub-tab. Gives users the ability to view:
  • Proposal and Account Documents
  • Account Status

Grow Practice / Fee Calculation 1
This permission turns on the Fee Calculation section when going through the Advisor-driven account opening process. If edit abilities are given, users will have the following options:
  • Show fee schedules
  • Adjust fees
  • Include section on IPS
  • Include fee schedules on IPS
  • Include high detail

Grow Practice / Forms Library Turns on the Forms Library sub-tab on the Grow Practice tab. Allows users to view and download all documents shared with the entire firm. The documents in this area are not client-specific. X
Grow Practice / Hidden Levers This permission is no longer in use.
Grow Practice / Manual Approval When on, allows users to manually mark an account as approved when on the Grow Practice > Dashboard > Opportunities page under the Action column.
Requires user have access to Grow Practice / Dashboard Opportunities or Grow Practice / Digital Advice.

Grow Practice / One Page Account Opening This permission is no longer in use. X
Grow Practice / Portfolio Builder This permission determines which version of the portfolio builder advisors see when recommending models for existing accounts.
If turned on, users will see the modern UI when on the Portfolio Builder chevron.
If turned off, users will see the Strategy Selection (older version) of the Portfolio Builder chevron which uses sliders for determining asset allocation.

Grow Practice / Strategy Selection Only Gives users the ability to select either the Questionnaire or Portfolio Builder Only option when recommending models for existing accounts. When under Grow Practice > Dashboard when clicking + Proposal users will have the option to select the firm’s questionnaire(s) or Portfolio Builder Only option. X
Grow Practice / Supplemental Form Gives users the ability to select Supplemental Forms when clicking + Account in Grow Practice > Dashboard. X

Manage Clients / Client Dashboard 1
Allows users to view Manage Clients > Dashboard and the following tabs:
  • Account
  • Client
  • Household

Manage Clients / Client Profile 1
Allows a user to view account information for a client including:
  • Overview Tab
  • Financial Tab
  • Communications Tab
  • Operational Tab
  • Performance Tab

Manage Clients / CRM Matching 1 Allows a user to see the CRM matching status for a client and adjust the match if given Edit permission. X X
Manage Clients / Folio 1 This permission is no longer in use. X
Manage Clients / Model Assignments 1 This permission controls if Model Assignments can be viewed or adjusted from the Manage Clients Overview tab. X
Manage Clients / Notifications 1 Gives users the ability to view the Notifications sub-tab under the Manage Clients tab. X X
Manage Clients / Order Status (Pershing Only) Gives users access to the Order Status screen for the AdvisorEngine Order Management System and integrates with orders generated in Smartleaf and executed with Pershing. X
Manage Clients / Performance 1
Allows user to view Performance data for:
  • Account
  • Client
  • Household

Manage Clients / Profile / Documents 1 Documents are visible for users based on data entitlements. However, this permission allows a user to create, edit, or delete documents located in the Manage Clients > Dashboard > Client Profile > Operational tab. X X X
Manage Clients / SmartLeaf 1 (Pershing Only) Gives users access to the Smartleaf tab located under Manage Clients.
Requires a subscription to Smartleaf.

Allows users to:
  • View Accounts tab on Manage Clients > Trade Files
  • View File Archive tab on Manage Clients > Trade Files
  • View Model status

Actions that can be taken:
  • Change model associated with a client’s account
  • Send models to iRebal

Allows a user to view the Fee sub-tab when under Manage Clients > Workflow. Users can:

Notifications / Service Allows a user to see Service-type notifications under the Manage Clients > Notifications sub-tab. This also affects alerts seen when looking at clients from an account, client, or household level. X
Notifications / Trade Allows a user to see Trade-type notifications under the Manage Clients > Notifications sub-tab. This also affects alerts seen when looking at clients from an account, client, or household level. X
Online Wearth Management Client This permission is no longer in use. X X X
Run Business / Advisor Codes 1 This permission is no longer in use. X X X
Run Business / Billing 1
Turns on the Billing sub-tab under Run Business. It allows users to view the following tabs:
  • Assignment
  • Client Fee
  • Advisor Fee
  • Platform Fee
  • Billing Households

View-only permission allows Users to take some actions including:
  • Edit advisor fee
  • Account exclusions
  • Do Not Bill
  • Account Date Settings
  • Fee Debit Account

Only users with create, edit, or delete permissions can take action on the Client, Advisor, Platform, and Billing households tab.

Run Business / Dashboard 1 Turns on the Dashboard sub-tab that appears under Run Business. It also allows users to view the Scorecard and Trends. X
Run Business / Firm Profile - Advisor
Turns on the Firm Profile and Advisor sub-tabs under Run Business. It allows a user to view:
  • Advisor Name
  • Advisor Code
  • Fee Structure
  • Date Created

Actions that can be taken:
  • Add new Advisor
  • Add new Advisor Code
  • Add Bulk Advisors
  • Delete Advisor
  • Delete Advisor Codes

Turns on the following sub-tabs under Run Business > Firm Profile:

Actions that can be taken:
  • Users can edit firm profile information.

  • Add/edit/delete OWM information.

Run Business / Firm Profile - Platform Settings
Turns on the Widget Management sub-tab under Run Business > Firm Profile. It allows a user to view what widgets are turned on and off when viewing a client’s account.
Actions that can be taken:
  • Turn on and off different widgets
  • Rearrange the order of widgets

Run Business / Firm Profile - Subtenant
Turns on the Subtenant sub-tab under Run Business > Firm Profile. It allows users to view:
  • Subtenant Name
  • Rep Code
  • Date added
  • Domain
  • Access to OWM

Actions that can be taken:
  • Add new subtenant
  • Edit subtenant
  • Delete subtenant
  • Activate OWM
  • Edit OWM
  • Disable OWM

Run Business / Grouping 1
Turns on the Grouping sub-tab under Run Business. Allows users to view:
  • Client or Account
  • First & Last Name
  • Advisor Name

Actions that can be taken:
  • Link Clients & Accounts
  • Action to toggle all/ungroup all
  • Move selection into household
  • Convert each selected client into a separate household
  • Convert all selected clients into a household
  • Create a new household
View-only users can link clients and accounts to households without needing additional permissions.

Run Business / Log
Turns on the Log sub-tab under Run Business. It is a permission usually given to someone in the IT department. It allows a user to monitor for technical errors in the Portfolio Manager.
Action that can be taken:
  • Refresh Log

Turns on the Model Changes sub-tab under Run Business. It allows a user to view:
  • User making changes to model
  • Date of change
  • Category
  • Description/Information
  • Change Type

Turns on the Operations sub-tab under Run Business. It allows a user to view:
  • Batch job name
  • Status
  • Start date
  • Start time
  • End time

Turns on the Revenue sub-tab under Run Business. It allows a user to view revenue by:
  • Account
  • Title
  • Billing household
  • Pro-rated BMV
  • Client Fee
  • Advisor Fee / split

Actions that can be taken:
  • Generate PDF

Run Business / Revenue - Run billing
Turns on the Reports sub-tab under Run Business > Billing. Allows users to:
  • Generate Reports
  • Download Extracts

Turning on Edit permissions give users the ability to lock and unlock billing periods.

Turns on the User Management > Roles sub-tab under the Run Business tab. It allows a user to view:
  • Role
  • Count (number of people assigned a role)

Actions that can be taken:
  • Edit

Requires users also have the Run Business / General permission to work.

Run Business / Users - End-Client Access 1
Turns on the User Management > End-Client Access sub-tab under Run Business. It allows a user to view:
  • Full Name
  • First & Last Name
  • Number of Accounts
  • Market Value
  • End Client Settings

Actions that can be taken:
  • Reset Password
  • Create User
  • Edit basic information (name and email)
  • Activate/Deactivate account
  • Turn on/off end client portal features

View-only permissions allows a user to reset the password for end client users. Create permission also requires Edit permission to be able to create new users.

Run Business / Users - All Advisor-Code Access Controls the ability of the users they manage to employ to the "All Rep Codes" checkbox during user set up. View lets a user view the button, Edit lets a user enable the button, and Delete lets the user toggle the button off. X X X

Turns on the User Management > Users sub tabs under Run Business. It allows a user to view:
  • Name
  • Date created
  • Email
  • Phone
  • Work info
  • Role

Actions that can be taken:

Run Business / Users - Single Advisor-Code Access Controls the ability of users to add specifically-designated individual Advisor Codes. View lets another user view advisor rep codes that the administrative user assigning the permission has access to. Create & Edit let a user employ the + Add Rep Code button. Delete lets a user remove an advisor rep code from another user’s permission set. X X X X
Run Business / Users - Roles Users that have this permission will be able to edit other users' data entitlements. X X X X
Statements This permission is no longer in use. X
User Profile / Views Gives access to Views sub-tab within My Profile. Views allows one user to impersonate which clients another user can see in the Portfolio Manager, based on data entitlements. X
