Zapier Integration: Creating Zaps

“Zaps” in Zapier refer to the automation workflows that connect your apps together. Zapier listens for events in one app and uses those events to trigger chosen events in other apps. These are referred to as Triggers and Actions respectively.

To view a current list of all Zapier Triggers and Actions compatible with AE CRM, visit zapier.com/apps/advisorengine-crm/integrations and scroll down to the Supported Triggers and Actions section. Using AE CRM Events as Zapier Triggers

Again, Triggers in Zapier are the events that begin a Zapier workflow. When a trigger occurs, all the items you’ve listed as Actions in the Zap will proceed.

Currently supported AE CRM triggers include:

  • Prospect Created: Triggers when a new prospect is added to AE CRM (typically through a Web Form).
  • Household Created: Triggers when a new Record is added to AE CRM.
  • Opportunity Created: Triggers when a new Opportunity is created on a Record.

You can use any of these event triggers to kick off Zapier Actions in any of your other connected Zapier apps when creating a Zap.

Available AE CRM Zapier Actions

Zapier Actions perform tasks in AE CRM for you when set in motion by a Zapier Trigger.

Currently supported AE CRM Zapier Actions include:

  • Create Prospect: Creates a new Prospect in AE CRM, using data imported from the trigger or other Zapier Actions. Also includes a Find or Create function, to search for and create only if it does not already exist.
  • Create Household: Creates a new Record in AdvisorEngine CRM, using data imported from the trigger or other Zapier Actions. Also includes a Find or Create function, to search for and create only if it does not already exist.
  • Create Opportunity: Adds a new Opportunity to a Record, using data imported from the trigger or other Zapier Actions.
  • Find Prospect or Find Household: Find and return the information for a Record or Prospect.

Use Cases

Because the possibilities of connecting apps and functions with Zapier are nearly endless, it is up to your imagination to determine the best way to create Zaps for your firm. However, here are a few common use cases to help you get started:

Automatically add new leads from forms

Take a trigger from something like Typeform or Gravity Forms when a form is submitted and use that data to create a new Record or Prospect in AE CRM.

Sync contacts between CRM and email marketing tools

Set a zap to trigger in AE CRM when a Record or Prospect is created and then a Zapier Action to search or create a contact in your marketing app like Hubspot. Or, create a Zap to work the other direction depending on where you add new contacts first. (Creating both is not recommended as this can lead to an infinite creation loop if done improperly.)

Send notifications to Slack

Set a Zap to trigger when an Opportunity is created in AE CRM that then sends a Slack message to the advisor or other employee who needs to follow up on it.

Create tasks for sales teams

Set a Zap to trigger on the creation of a Prospect in AE CRM that then assigns a task to the sales team in your project board like Trello, Asana, or ClickUp.

Best Practices Suggestions

  • Use the “Find or Create” Actions when possible to avoid duplicates.
  • Add Filters to prevent unnecessary tasks.
  • Keep field names consistent between apps.
  • Start with single-step Zaps then expand as needed.
  • Monitor task usage to avoid hitting your Zapier limit.
