Creating and Promoting Informational Contacts

Creating and Promoting Informational Contacts

Informational Contacts exist on a Record as a way to store contact information for people associated with a Record but do not yet need a Record of their own.

Informational Contacts are not reportable and can only be referenced by viewing them on the Record they are added to. They can, if needed, be promoted to a full Record as described below.

Adding Informational Contacts

To add a new Informational Contact to a Record:

  1. Open the Record you want to add an Information Contact to.
  2. Navigate to Details > Relationships > Informational Contacts.
  3. Click +ADD CONTACT and fill in any details you need for the contact.
  4. Click SAVE to add the new contact.

Once added, you can edit the contact by selecting Edit from the More menu .

Promoting an Informational Contact to a Record

If your association with an Information Contact has changed to the point where they require a full Record, you can begin a new Record with the information you’ve already stored in the Informational Contact by promoting them to a Record.

Before you can promote an Informational Contact you must set up your Informational Contact Defaults in the Preferences tab of your User Profile.

  1. Navigate to the Informational Contact entry on its associated Record.
  2. Hover over the More menu and select Promote to Record.
  3. Click PROMOTE in the alert box to proceed. This process cannot be reversed.
  4. A notice in the bottom left will inform you that the process was successful. Click VIEW in the notice to jump to the new Record.
