Adding and Updating Assets Manually for a Client
In the event that you need to track, report, or bill on a client asset that cannot be brought into AdvisorEngine automatically, it is possible to create an account manually on a client’s profile. Manual asset accounts can only be added at the Client level.
Manually added asset accounts appear wherever accounts show in the system for purposes of reporting or billing. Only the total market value of the asset is tracked, not individual positions. The value must be manually updated periodically to ensure accuracy of billing and reporting.
Because manual assets are not being received from any integrated custodian, they must have a manual rep code assigned as well. Before creating manual assets you must first create one or more Manual Rep Codes.
Creating a Manual Asset
- Use the Universal Search or Manage Clients Dashboard to locate and open the Client profile you want to add an asset for.
- From the navigation tabs of the profile, select Manual Assets > Add/Edit Manual Assets.
- From the Manual Assets workspace, click +ADD NEW MANUAL ASSET. If the Client has not had any manual assets created yet, the workspace is skipped and you are taken directly to adding the asset.
- Enter the manual asset details. All fields are required:
- Managed: Whether the account is considered managed for reporting and billing purposes
- Account Type: Select the appropriate account type from the drop-down.
- Unique ID: Enter a unique ID for the asset account. This functions as the Account Number. Like any account number, it must be unique across the entire system. If possible, use the actual Account Number of the account you are entering manually. If the Unique ID is in use (even outside your firm), you are prompted to choose another.
- Custodian: Select the appropriate custodian from the drop-down.
- Repcode: Select one of your manual rep codes to assign to this account.
- Open Date: Set the effective date of the asset account.
- Market Value: Set the starting market value of the account used for reporting and billing.
- After entering the required details, click SAVE.
Updating a Manual Asset
There is no automation in a manual asset values and as such they should be periodically updated for accurate billing and reporting.
- Use the Universal Search or Manage Clients dashboard to locate and open the Client profile you want to update the manual asset for.
- From the navigation tabs of the profile, select Manual Assets > Add/Edit Manual Assets.
- From the Manual Assets workspace, click the more menu
> Edit in the Action column of the asset you want to update. - Update the Market Value with the new amount and the Statement Date with the date the value is effective from.
- Click SAVE to commit your changes.
Viewing Update History
For auditing purposes, it is possible to see the update history of any manual asset account. From the Manual Assets tab on a client profile, select View Manual Assets History.
