Adding New Portfolio Management Users

Users in the AdvisorEngine Portfolio Manager come in two forms: Portfolio Management Users and Client Portal Users. In practical terms, these are the employees of the firm and the firm’s clients or prospects, respectively.

The following process adds a new user to the Portfolio Manager.

Tip! At the end of this process, new users receive an email to create their password and finish registering. The email is valid for 24 hours. Plan to add new users at a time when they will be able to finish the process promptly.
  1. Navigate to Run Business > User Management > Users.
  2. Click + New User.
  3. Fill in the required fields of First Name, Last Name, Work Email, and Work Phone for the new user.
    • If your firm uses Two-Factor Authentication (2FA) for login security, set the Work Phone to the cell phone the user will receive the 2FA messages with.
    • Fill in any other optional fields as desired.
  4. Click Next.
  5. Enter the Username. This will be the email address that the user will use to log in to the Portfolio Manager and receive communication for setting and resetting the user’s password.
    • Select Allow unlimited attempts at logging in if desired. If not selected the user will be locked out of the system for 10 minutes after 3 failed login attempts. See Unlocking a User for Failed Login Attempts if needed.
  6. Click Next.
  7. Select the Roles that User has to determine their effective permissions in the Portfolio Manager. See Defining Portfolio Manager User Roles for more information.
  8. Click Next.
  9. Select the Advisor Code(s) that the user should have access to view data for or select the Set all advisor codes checkbox. This controls which Advisor Code data the user can view and work in, which is different than assigning an Advisor Code to an Advisor for billing and revenue purposes.   10. CAUTION: The All Access User checkbox on this page is a special setting for custodian integrations. Only one user at the firm may have this setting and it will be created by your Onboarding Engineer. Do not use this box unless directed by AdvisorEngine support.
  11. Click Save.

The new user will receive an email with a link to complete the registration process and create their password. Again, this link is valid for 24 hours. If the deadline passes before the user can act on the email, you will need to follow the steps for Resetting a User’s Password to resend this email.
